Lead Generation Workflow for a Marketing Agency

Replaced a manual CSV export process with an automated pipeline that centralises leads from two sources, removes duplicates before they enter the database, and notifies the team the moment a lead arrives.

The Problem

What needed solving

The agency was collecting leads from two places — LinkedIn Lead Gen Forms and their website contact form — and both required manual CSV exports into Google Sheets.

The process was slow, created duplicate records, and meant leads sometimes sat uncontacted for days.

They needed everything in one place, arriving instantly, without anyone exporting anything.

The Build

How the system works

  1. Watch both sources

Make.com monitors LinkedIn Lead Gen Forms and the website contact form simultaneously. Any new submission triggers the workflow immediately.

  2. Check for duplicates first

Before writing anything, the workflow checks whether the email already exists in the sheet. Duplicates are flagged and skipped, keeping the database clean by default rather than by cleanup.

  3. Log centrally with source tracking

New leads are written to a structured Google Sheet with the source recorded, so the team can see whether a lead came from LinkedIn or the website and when it arrived.

  4. Notify the team

A notification fires as soon as a new lead is logged, so follow-up happens in minutes rather than days.

Outcome

What the system delivers

Manual exports stopped entirely. The team no longer touches CSVs.

The lead database stays clean, with duplicates caught before they enter rather than cleaned out afterwards.

Follow-up time dropped from days to minutes because notifications arrive the moment a lead does.
